Bookkeeping Updates for Fiscal Year 2024 (Zoho)

We need volunteer support to update our bookkeeping records for 2024 tax preparation. Due to external circumstances, we have fallen behind in bookkeeping and have been granted a tax filing extension until October 15th.

SCOPE OF WORK
- Assist in gathering receipts/invoices from vendor accounts
- Record transactions (income, donations, expenses)
- Review and update any existing financial records, if needed
- Correctly categorize expenses and income for accurate reporting
- Ensure data is organized in bookkeeping software (Zoho Books)
- Any recommendations for simple, sustainable bookkeeping practices going forward is appreciated.

ESTIMATED TIME COMMITMENT & DEADLINE:
- Approximately 5 hours per week
- 4 - 5 Weeks
- Flexible schedule — remote volunteering
- Deadline: Books must be updated by October 1st - 5th, 2025, so they can be submitted to our accountant before our October 15, 2025 tax filing extension deadline.

- Google Chat & Gmail

OTHER INFO:
We are a small organization with modest financial activity. Our bookkeeping platform is already set up and organized into categories, but we are open to suggestions from an expert volunteer on how to improve or simplify our process.

The Network Incubator Collective is the 501c3 nonprofit champion of The Network Incubator, a creative think tank for business ideas where under-resourced entrepreneurs receive real-time support for their business ideas or challenge+make meaningful connections to grow sustainably. We want volunteers to feel confident that their expertise will make an immediate and lasting impact.

✅ Strengthen our accountability to donors, board members, and the community we serve.

✅ Free up organizational energy to focus on developing our board and preparing new programming for 2026.

✅ Build the fiscal health that directly sustains and expands programming for under-resourced entrepreneurs, ensuring they continue to access the tools, mentorship, and connections needed to grow thriving businesses.
To prepare for this project, The Network Incubator Collective has:

✅ Secured internal buy-in: Leadership is aligned on the urgency of updating bookkeeping files for 2024 tax preparation and will prioritize this project until completion.

✅ Organized materials: Our bookkeeping system is already set up in Zoho Books with a clear chart of accounts. Volunteers will also have access to our account tracking sheet with login credentials, where receipts, invoices, and financial records can be pulled directly.

✅ Streamlined communication: We use Google Chat and Gmail to ensure quick access to our designated point of contact, eliminating delays and keeping the project on track.

✅ Structured collaboration: We will schedule regular work sessions with the volunteer to review progress, answer questions in real time, and make adjustments together as needed.

✅ Committed to implementation: Once complete, the updated bookkeeping files and any recommended practices will be adopted by our team to maintain accountability, support grant applications, and sustain long-term financial health.

By being prepared, responsive, and open to expert guidance, we aim to set this project up for success and ensure our volunteer partner feels valued and supported every step of the way.
