Accounting Systems Set Up
Bookkeeping System Setup & Migration:
- Support us in fully setting up our newly acquired accounting software.
- Migrate existing financial records into the system and establish clear workflows for accurate recording, reconciliation, and reporting.
- Develop a simple process for monthly and quarterly financial reporting to keep our leadership and board informed.
IRS Form 990 Preparation and Filing:
- Review our prepared but unfiled 2023 IRS Form 990 to ensure accuracy and completeness.
- Prepare the 2024 IRS Form 990 for leadership review and final submission by our organization.
- Develop a simple compliance plan that includes filing timelines, documentation checklists, and reminder systems to ensure all future filings are completed on time.
This project is designed to take approximately 20–25 hours over a 4–5 week period, with 2–5 hours of volunteer support per week. In our first meeting, we will provide a detailed overview of our financial recordkeeping and share all existing documentation for both 2023 and 2024. The volunteer’s expertise will not only help us get back on track but also set us up for long-term sustainability.
This project directly advances our mission by:
- Strengthening trust & transparency: Clean books and timely 990s build confidence with donors, grant makers, and partners, unlocking sustainable funding.
- Improving operational focus: A reliable monthly close and reporting rhythm reduces friction, freeing our team to serve more families with higher quality.
- Reducing compliance risk: Catching up on the prepared-but-unfiled 2023 return, filing 2024 on time, and adopting a forward-looking deadline calendar ensures we remain compliant and audit-ready.
- Fueling growth & impact: With finance processes dialed in, we can scale programs, measure outcomes more precisely, and direct every donated dollar where it matters most.
Impact, at a glance:
- On-time filings and consistent reporting → stronger grant competitiveness
- Clear cash and fund visibility → better program planning and delivery
- Documented workflows → continuity through staff and volunteer changes
If you’re passionate about nonprofits and want your accounting expertise to translate into tangible community impact, we’d love to partner with you on this focused, high-leverage project.
- Software Purchased & Basic Training Completed: We already have accounting software in place and have reviewed its training guidelines.
- Organized Records: Our financial documents from 2023 and 2024 are compiled, including donations, grants, expenses, and bank records.
- Dedicated Team Member Assigned: One of our staff will be the point of contact, coordinating with the volunteer and providing timely access to documents.
- Leadership Buy-In: Our board and CEO fully support this project and see it as critical to our long-term financial health.
- Future Sustainability: We’re not just looking for one-time help. The systems and filing plan developed will be implemented and monitored going forward, ensuring ongoing compliance.
