We are a nonprofit housing organization that provides home repair and assistance services. We are currently experiencing high staff workload due to incomplete applications and time spent following up with applicants by phone.

Project Summary:
We are seeking a skilled volunteer to help us quickly set up a simple, no-code intake system that ensures applicants submit complete information and required documents upfront.

This is a short-term, rapid project using tools like Jotform, Google Forms, Airtable, or similar. The goal is to reduce incomplete applications and streamline our intake process.

Scope of Work:

Create a user-friendly online intake form (mobile-friendly)

Include required fields for:

Applicant information

Household members

Income (per adult household member)

Government benefits

Housing/occupancy details

Configure required document uploads:

ID

Proof of income

Proof of homeownership or occupancy

Benefit documentation (if applicable)

Add basic conditional logic:

Show required uploads based on responses

Ensure required fields and uploads are completed before submission

Connect form to a simple tracking system (Google Sheets or Airtable)

Include basic application status tracking (Incomplete, Under Review, Selected, Waitlisted, Ineligible)

Timeline:
We are looking to complete this project within 3–5 days of kickoff.

Skills Needed:

Experience with no-code tools (Jotform, Google Forms, Airtable, etc.)

Familiarity with form logic and workflows

Ability to move quickly and keep solutions simple

Additional Notes:
We are intentionally looking for a simple, practical solution—not custom software development.

We are ready to start immediately and can respond quickly to move the project forward.
Every week, our team works with families who need critical home repairs and housing support—but too often, the process is slowed down by incomplete applications and missing documentation. This creates delays not just for our staff, but for households waiting for help.

Right now, our team spends significant time on phone calls tracking down missing information instead of focusing on delivering services. That means fewer homes repaired and longer wait times for families in need.

This project directly addresses that challenge.

By helping us build a simple, effective intake system, you will make it easier for applicants to submit complete applications the first time. This will reduce delays, streamline our process, and allow our team to move qualified households forward more quickly.

Ultimately, your work will help ensure that families—many of whom are low-income or living in rural and tribal communities—can access safe, healthy housing without unnecessary barriers.

We are ready to move quickly and have already done the groundwork to make this project successful.

Our team has clearly defined the intake fields, required documentation, and workflow we need based on our current application process. We have also aligned internally on shifting to an online-first intake approach to reduce incomplete applications and staff time spent on phone follow-up.

All materials are prepared, including:

Existing intake questions and application forms

List of required documents and eligibility criteria

Defined application statuses and review process

We have leadership and staff buy-in and are ready to implement this immediately. A staff member will be available to respond quickly, provide feedback, and test the system throughout the build.

Once completed, this system will be used right away as our primary intake method. It will directly reduce administrative burden and allow our team to focus more time on delivering services to households in need.

We are committed to keeping this project simple, actionable, and within scope so that it can be successfully completed in a short timeframe.
