Phoebe's Safe Haven is seeking a skilled volunteer to help us develop a centralized administrative organization and document-management system that will support our growing nonprofit operations.

As a newly established nonprofit, we are developing policies, procedures, volunteer materials, board documents, website project files, outreach resources, meeting records, and other organizational materials. As our team and projects continue to grow, we need a clear and sustainable system for organizing information so that documents can be easily located, maintained, updated, and appropriately shared with authorized team members.

The volunteer will work with the Founder and Board Chair to assess our current administrative organization and help create a practical system that can grow with the organization. We currently use digital tools and are exploring Google Workspace for Nonprofits as a potential primary platform, so we welcome recommendations based on our needs and current stage of development.

The project may include:
* Assessing our current administrative files and identifying opportunities to improve organization.
* Developing a centralized digital folder and subfolder structure for key areas such as governance, board operations, volunteers, policies and procedures, fundraising, grants, communications, website projects, partnerships, and general administration.
* Creating consistent file-naming and document-naming conventions.
* Developing a system for distinguishing drafts, documents under review, approved documents, and archived versions.
* Recommending appropriate access and permission levels for leadership, board members, volunteers, and project-based team members.
* Creating simple administrative trackers, templates, or organizational tools where needed.
* Establishing a process for archiving outdated or completed materials while keeping active documents easy to locate.
* Recommending best practices for maintaining confidentiality and protecting sensitive organizational information.
* Helping organize and migrate existing materials into the new structure, as time permits.
* Creating a simple written guide or standard operating procedure explaining how the system should be maintained by current and future team members.

The goal of this project is to provide Phoebe's Safe Haven with a clear, efficient, accessible, and sustainable administrative organization system that reduces time spent searching for information, prevents unnecessary duplication, improves collaboration, and helps ensure important organizational records are properly maintained.

The completed system will serve as part of the administrative foundation for Phoebe's Safe Haven as we continue building our team, programs, partnerships, fundraising efforts, and long-term operations. Because our organization serves women with disabilities who are survivors of domestic violence, confidentiality, accessibility, responsible information management, and appropriate access controls will be important considerations throughout the project.
Phoebe's Safe Haven's mission is to create safe, accessible housing and support services for women with disabilities who are survivors of domestic violence. To achieve this mission, we must build a strong organizational foundation that allows our team to work efficiently, collaborate effectively, and responsibly manage the information and resources needed to grow our programs and services.

As a newly established nonprofit, we are building many of our administrative systems while simultaneously developing our website, recruiting and onboarding volunteers, establishing community partnerships, preparing for future fundraising and grant opportunities, and working toward our long-term vision of creating ADA-accessible safe housing.

A well-designed administrative organization system will help ensure that important documents, policies, board records, project materials, partnership information, and organizational resources are organized, accessible to the appropriate team members, and protected according to their level of confidentiality. This will reduce time spent searching for information, prevent unnecessary duplication, improve collaboration, and allow leadership and volunteers to focus more of their time and energy on advancing our mission.

The impact of this project will extend far beyond organizing files and folders. Strong internal systems help create a stronger organization. By helping Phoebe's Safe Haven establish an efficient and sustainable administrative structure now, the selected volunteer will be helping us build the operational capacity needed to expand our programs, strengthen partnerships, pursue funding opportunities, coordinate volunteers, and prepare for future service delivery.

Ultimately, every system we build behind the scenes supports our ability to better serve our community. As Phoebe's Safe Haven grows, having an organized and reliable administrative foundation will help us respond more effectively to opportunities and challenges while remaining focused on our goal of addressing the accessibility gaps that disabled survivors of domestic violence often face when seeking safety and support.

The volunteer who contributes to this project will play an important role in building the infrastructure behind our mission. Their expertise will help create systems that can support Phoebe's Safe Haven not only today, but throughout our growth as we work toward creating accessible resources, supportive services, and safe housing where disabled survivors can find dignity, inclusion, and greater access to the support they deserve.
Phoebe's Safe Haven is prepared to work collaboratively with the selected volunteer to ensure this project is successful and results in a practical system that our organization can maintain long-term.

As a growing nonprofit, we have already developed a significant number of organizational materials, including governance documents, board records, volunteer role descriptions, interview materials, onboarding documents, policies and procedures, website project materials, branding resources, meeting records, and other administrative documents. These existing materials will provide the volunteer with a clear starting point for assessing our organizational needs and developing an appropriate structure.

The Founder and Board Chair will serve as the primary point of contact for the project and will be available to explain current workflows, identify organizational priorities, provide access to appropriate materials, answer questions, and offer timely feedback throughout the project. We are also open to the volunteer's professional recommendations regarding folder structures, file-naming conventions, document management, access permissions, version control, and administrative best practices.

We are currently evaluating Google Workspace for Nonprofits as a potential primary platform for our organization's email, document storage, and collaboration needs. We will work with the volunteer to ensure that the organizational system developed through this project is compatible with our selected technology platform and can grow with Phoebe's Safe Haven.

We understand that a successful organizational system requires ongoing use and maintenance. Once the project is completed, the system will be incorporated into our day-to-day administrative operations. Leadership and designated administrative team members will be responsible for maintaining the structure, following established file-naming and document-management procedures, and ensuring that new team members understand how to use the system.

We would also like the project to include simple written documentation or a standard operating procedure that explains how the system is organized and maintained. This will help ensure continuity as new staff members and volunteers join the organization.

Our goal is to provide the selected volunteer with the information, collaboration, and feedback needed to create a system that is not only well organized but also practical, accessible, secure, and sustainable. By establishing these processes now, Phoebe's Safe Haven will be better prepared to manage its operations efficiently as our team, programs, partnerships, and services continue to grow.
