Phoebe's Safe Haven is seeking a skilled volunteer to help us develop a structured, accessible, and sustainable onboarding resource system for our growing volunteer team.

As a newly established nonprofit, we are recruiting volunteers with a variety of professional skills to support areas such as administration, volunteer recruitment, website development, design, communications, outreach, and other capacity-building projects. As our volunteer team grows, we want to ensure that every new volunteer receives a consistent, welcoming, and well-organized introduction to Phoebe's Safe Haven, our mission, their responsibilities, and our expectations.

We have already begun developing several onboarding materials, including a Volunteer Handbook, Code of Conduct, Confidentiality Agreement, onboarding checklists, volunteer benefits information, role descriptions, and other supporting documents. We are seeking a skilled volunteer who can help us review, organize, standardize, and strengthen these resources into a cohesive onboarding system.

The project may include:
* Reviewing our existing volunteer onboarding documents and identifying gaps, duplication, or areas that need clarification.
* Organizing onboarding materials into a logical and easy-to-follow sequence for new volunteers.
* Developing a standardized volunteer onboarding checklist that can be adapted for different roles.
* Creating a new volunteer welcome packet or onboarding guide that introduces Phoebe's Safe Haven, our mission, organizational values, expectations, communication practices, and available resources.
* Developing templates for welcome emails, onboarding instructions, first-week communications, and other routine administrative correspondence.
* Creating a process for distributing, completing, signing, returning, and securely storing required onboarding documents.
* Developing a simple system for tracking onboarding progress and ensuring required steps are completed.
* Recommending an appropriate onboarding timeline, from volunteer acceptance through orientation and the volunteer's first project or assignment.
* Helping establish role-specific onboarding considerations for different types of volunteers.
* Reviewing materials for clarity, consistency, accessibility, and ease of use.
* Creating a simple written onboarding procedure or standard operating procedure that future administrative team members can follow.

The selected volunteer will work with the Founder and Board Chair to understand our current recruitment and onboarding process, review existing materials, and recommend improvements based on nonprofit and volunteer management best practices.

The goal of this project is to provide Phoebe's Safe Haven with a consistent and sustainable onboarding system that helps new volunteers feel welcomed, informed, prepared, and connected to our mission from the beginning of their service.

The completed resources will also help reduce administrative burden, prevent important onboarding steps from being missed, improve communication, and provide future administrative and volunteer recruitment team members with a clear process to follow as our organization grows.

Because Phoebe's Safe Haven's mission centers on women with disabilities who are survivors of domestic violence, we want our onboarding practices to reflect our organizational values of accessibility, inclusion, confidentiality, professionalism, dignity, and trauma-informed communication. The onboarding resources developed through this project will help ensure that volunteers understand these values and how they apply to their work with our organization.
Phoebe's Safe Haven's mission is to create safe, accessible housing and support services for women with disabilities who are survivors of domestic violence. As a growing nonprofit, skilled volunteers play an important role in helping us build the organizational capacity and infrastructure necessary to turn this mission into sustainable programs, resources, partnerships, and services.

Our volunteers contribute expertise across many areas of the organization, including administration, volunteer recruitment, website development, design, communications, outreach, and other capacity-building initiatives. Creating a strong onboarding experience will help ensure that each person who joins Phoebe's Safe Haven understands not only their individual responsibilities, but also the mission, values, confidentiality expectations, accessibility principles, and trauma-informed approach that guide our organization.

This project will help us create a consistent and welcoming onboarding process that prepares volunteers to contribute effectively from the beginning. Clear onboarding resources can reduce confusion, improve communication, establish expectations, and help volunteers understand how their individual contributions connect to the larger mission of Phoebe's Safe Haven.

The impact of this project extends beyond administrative efficiency. The people who volunteer with Phoebe's Safe Haven are helping us build the foundation of an organization dedicated to addressing significant accessibility gaps experienced by disabled survivors of domestic violence. When volunteers are properly prepared, supported, and connected to our mission, they are better equipped to contribute their skills in ways that strengthen the organization and advance our goals.

The onboarding resources developed through this project will also help reinforce the importance of disability inclusion, accessibility, confidentiality, dignity, and respectful, trauma-informed communication throughout our organization. Establishing these expectations from the beginning will help us build an organizational culture that reflects the same values we want survivors to experience when interacting with Phoebe's Safe Haven.

Ultimately, a strong volunteer onboarding system will help Phoebe's Safe Haven recruit, prepare, engage, and retain the skilled volunteers who are contributing to our growth. By helping us build this system, the selected volunteer will have a ripple effect across the organization—strengthening the people who strengthen our mission.

Their contribution will help us build the organizational capacity needed to develop accessible resources, strengthen community partnerships, expand awareness, pursue funding opportunities, and work toward our long-term vision of creating safe, ADA-accessible housing and supportive services where disabled survivors of domestic violence can find greater access to safety, dignity, and support.
Phoebe's Safe Haven is prepared to work closely and collaboratively with the selected volunteer to ensure this project results in a practical onboarding system that can be implemented and maintained as our volunteer team grows.

We have already completed much of the foundational work needed to begin this project. We have developed or are developing several volunteer resources, including a Volunteer Handbook, Code of Conduct, Confidentiality Agreement, volunteer role descriptions, onboarding checklists, volunteer benefits information, interview materials, and other supporting documents. These existing materials will provide the selected volunteer with a strong starting point for reviewing our current process, identifying gaps, and helping us create a more cohesive onboarding experience.

We also have an active volunteer recruitment process and currently recruit skilled volunteers through platforms including Taproot and Idealist. Because we are actively interviewing, selecting, and onboarding volunteers for different roles, the resources developed through this project will address an immediate organizational need and can be implemented as they are completed.

The Founder and Board Chair will serve as the primary point of contact throughout the project. She will be available to provide existing materials, explain current recruitment and onboarding practices, answer questions, review drafts, and provide timely feedback. We welcome the volunteer's professional recommendations regarding nonprofit volunteer onboarding best practices, document organization, workflow design, accessibility, and opportunities to improve the overall volunteer experience.

We will work with the selected volunteer to identify the essential onboarding steps that should apply to all volunteers while also recognizing that certain roles may require additional role-specific information or preparation. Our goal is to create a standardized core onboarding process that is consistent across the organization while remaining flexible enough to accommodate different volunteer positions.

Once completed, the onboarding resources will be incorporated into Phoebe's Safe Haven's regular volunteer management process. Leadership and designated administrative or volunteer recruitment team members will use the materials to guide new volunteers from acceptance through orientation and the beginning of their assignments.

We also plan to maintain clear written procedures so that future team members can understand and consistently follow the onboarding process. This will help ensure continuity as Phoebe's Safe Haven grows and reduce reliance on any one individual to manage onboarding from memory.

By providing existing resources, a clear point of contact, timely feedback, and an immediate plan for implementation, we believe we can create a productive partnership with the selected volunteer and develop an onboarding system that will continue benefiting Phoebe's Safe Haven and its volunteers well beyond the completion of the project.
