About the Opportunity

Face Friends Foundation is an all-volunteer, fully virtual nonprofit based in Sugar Hill, Georgia, building the Sugar Hill Workforce Academy — a commercial culinary incubator kitchen and technical literacy lab serving the Gwinnett County corridor. Our mission is to create real economic opportunity for youth, unemployed adults, and small business owners in our community.

We have made significant investments in AI tools to support our fundraising operations. We currently use an AI research and grant drafting agent, an AI outreach and communications system, and a project management platform. However these tools are operating in isolation rather than as part of a deliberate, integrated fundraising workflow. The result is inconsistent output, duplicated effort, and missed opportunities that a properly designed AI enabled fundraising system would capture automatically.

What is getting in the way of progress is the absence of a documented, strategic workflow that connects our AI tools to each stage of our fundraising cycle — from prospect identification and stakeholder outreach to grant drafting, donor stewardship, and pipeline tracking. Our volunteer team is lean and operates asynchronously, which makes a well designed AI workflow even more critical — it needs to work consistently whether or not a volunteer is available on any given day.

We have attempted to build this infrastructure organically however without expertise in AI enabled workflow design our tools remain underutilized and disconnected from each other and from our broader fundraising strategy.

We need a pro bono consultant with AI and operations expertise to assess our current tools, map our fundraising cycle, and design a complete AI enabled workflow that connects every stage of our fundraising process into one integrated, documented, and repeatable system.

By the end of this project we expect the pro bono consultant to deliver a complete, documented, and immediately implementable AI-enabled fundraising workflow designed specifically for a lean, fully virtual, asynchronous nonprofit fundraising operation.

The specific deliverables are:

1. Current State AI Assessment A clear, honest evaluation of our existing AI tools — grant drafting agent, outreach and communications system, and project management platform — assessing how each is currently being used, where the gaps are, and where the greatest integration opportunities exist.

2. Fundraising Cycle Map A complete visual map of our end to end fundraising cycle — from prospect identification through first contact, cultivation, solicitation, grant submission, donor stewardship, and pipeline tracking — showing exactly where AI tools can be deployed at each stage.

3. Integrated AI Fundraising Workflow A fully documented, step by step workflow showing how our AI tools connect to and support each stage of the fundraising cycle. This includes trigger points, handoff protocols between tools, escalation paths when human judgment is required, and quality control checkpoints.

4. Automation Recommendations A prioritized list of fundraising tasks that can be fully or partially automated using our existing AI infrastructure — reducing manual volunteer burden and ensuring consistent output regardless of volunteer availability on any given day.

5. Implementation Roadmap A phased, realistic implementation plan showing how to transition from our current disconnected tool usage to a fully integrated AI fundraising workflow — with clear milestones, responsible parties, and a realistic timeline.

6. Staff Training Guide A simple, plain language guide explaining the new workflow to our volunteer team — what each tool does, when to use it, and how each person's role connects to the broader AI enabled fundraising system.
