We are hiring a part time Operations & Volunteer Coordinator to support our in person operations, inventory, school orders, volunteer coordination, and program logistics.
We are looking for an experienced HR or recruitment professional to help us develop a hiring toolkit tailored to this position. We want to move beyond reviewing resumes informally and establish a clear, consistent process for identifying candidates whose skills, experience, and working style align with the role.
We are open to recommendations on the recruitment process itself and welcome an expert perspective on what would work best for a small nonprofit.
1. Recruitment process recommendations
Review our job description and recommend a practical hiring process, from reviewing applications through final interviews. Identify key decision points and suggest how to evaluate candidates consistently without creating unnecessary complexity.
2. Applicant screening criteria and candidate scorecard
Develop clear, job related screening criteria and a candidate scorecard we can use to assess applications and resumes. The scorecard should help us compare candidates objectively based on relevant experience, organization, initiative, problem solving, reliability, communication, and ability to work independently.
3. Initial screening call guide
Create a brief screening call guide with suggested questions to help us assess a candidate's interest, relevant experience, availability for the required in person schedule, and understanding of the position. Include guidance on what to listen for and how to document responses.
4. Structured interview questions
Develop a set of interview questions tailored to the Operations & Volunteer Coordinator position. Include behavioral questions that explore how candidates approach responsibilities, solve problems, manage competing priorities, communicate, and take ownership of their work.
5. Practical scenario based assessment
Recommend a short, realistic exercise that helps us evaluate how candidates would approach situations they may encounter in this role. For example, the exercise might involve organizing competing priorities, identifying a solution to a recurring operational problem, or responding to a volunteer coordination challenge.
6. Hiring decision guide and implementation recommendations
Provide guidance on how to use the toolkit throughout the hiring process, compare candidates, and determine who should advance to the next stage. Include recommendations for keeping the process fair, consistent, and manageable for a small organization.
